How to Organise a Great Midweek Event

Organising a midweek event can be a daunting task. The prospect of low attendance due to the date not falling on the weekend can be off putting for some, and panic can set in. However, if organised innovatively and proactively, a midweek event can draw good numbers and leave lasting memories. By following the tips below, you can maximise your chance of pulling off a successful event to be proud of:

Make A Plan

Everything starts with a plan.  Think numbers, budget, theme, catering.

 

Location

Where your event is held can influence the amount of people that attend. A number of factors need to be considered such as capacity, ambience and importantly for a midweek event, transport. A central location that is close to public transport and easily accessible for attendees should be chosen. If the event is at an old country manor, only accessible by taxi and thirty minutes from the nearest town, then chances are that midweek attendance will be low, with the prospect of an early start for work, putting off many. Think practically.

Give It A Purpose

By turning a midweek event into a fundraiser, it increases the chance of a higher attendance as people like to support a good cause. Choosing to donate some of ticket sales or drinks revenue etc. to a charity close to people’s hearts can help to sway those who may have been undecided on going out on a work night.

Food & Drink

Hire a reputable and established catering company that have worked at similar sized events and have good reviews. The quality of the food at an event is something that is talked about long after and if the catering is of a high standard, then the attendees will be satisfied. Choose a menu and style of food that is specific for the occasion. If it is an event with seated tables then a heavier menu can be chosen, but if the aim is to get people mingling, then canapés or a buffet style feast are probably advisable.

Invite A Celebrity

Inviting a celebrity is a great way to boost the profile of an event. If they require a fee, then midweek days are likely to be cheaper than weekends, and the cost can be offset by increased ticket sales and attendance. The chances of getting someone famous to commit their services to your event are likely to increase if the event donates some proceeds to charity and the potential of media exposure can always help lure celebrities in.

If planned right, budgeted correctly and organised efficiently, then a midweek event can be a hit. It does not matter what size the event is, it needs to appeal to those invited as people are often reluctant to go out during the week. Setting a reasonable finish time for the event can persuade people to attend, as if there is no official finishing time, then some do not trust their self-control not to drink too much, or stay out too late with work the next day.
